Quote Roles and Who Signs

Administrators decide who appears on a quote and which of those people signs for your organisation. This article covers People, under Admin → Operations: permission roles, quote roles, and signing entities.

Before you begin

You need administrator access to Quote Generator; the Admin entry in the sidebar appears only for administrators.

Opening People

Open Quote Generator, click Admin in the sidebar, open Operations, then People — “Users, named roles, and who is allowed to sign quotes.” The page has three sections: Permission roles, Quote roles, and Signing entities.

Quote Roles: Who Appears on a Quote

A quote role is a named place on the quote — the salesperson, an engineer, a countersigning officer. Each role has a name and one switch: whether the person in that role signs.

1. Under Quote roles, click + Add quote role.
2. Enter the role under Quote role name.
3. Turn on Can sign the quote if the person in this role signs the proposal for your organisation.
4. Click Create. Existing roles show their key beside the name; edit one and click Save.

With no roles configured the section reads “None yet. A quote can still name a salesperson.” Deleting a role also unassigns it from everyone.

Who signs on your side is a tenant decision

Some organisations have the salesperson sign the letter and a standing signing officer countersign, so the proposal reaches the customer already executed on their side. Others sign nothing until the customer has. Set the Can sign the quote switch to match how your organisation actually signs; the paper’s signature block follows it.

Signing Entities

Under Signing entities, list the legal entities your organisation signs as. A quote picks one in Quote settings and the paper prints its name. The page explains the default: “With none configured, every quote signs as your company name from Presentation → Letterhead”; once any entity exists, a quote that has not picked one prints no seller name and its exports refuse until it does.

The Customer’s Signer

The customer’s signer is not set here. It comes from the customer’s contacts — the first contact by default, or the person chosen under Signs on the quote. See Adding Customers and Contacts.

Troubleshooting

I don’t see Admin

The Admin entry appears only for administrators. Ask your tenant administrator to grant your group access.

The signature block shows the wrong signer for our side

Check which quote role has Can sign the quote turned on, and which person holds that role on the quote.
